Define the same task on both sides.
Record the inputs, outputs, volume and quality standard. Compare complete work cycles, including preparation, approvals and corrections. An automated API call is not equivalent to the full manual task.
Calculate useful capacity.
Monthly hours released = comparable task volume × minutes reduced per task ÷ 60, minus new review and exception time. Use a representative sample rather than one unusually successful run.
An illustrative calculation.
If 100 tasks each save 6 minutes, the gross capacity released is 10 hours. If new reviews consume 2 hours, the net is 8 hours. This is hypothetical arithmetic, not a LONGWApps customer result. Multiply by a justified loaded hourly cost only when the capacity has a credible use.
Include all costs.
Compare expected benefits against implementation, onboarding, subscriptions, model usage, hosting, maintenance and ongoing review. Payback period uses net recurring benefit, not gross time savings. If recurring benefit is negative, there is no positive payback under those assumptions.
Review after launch.
Record comparable volumes, error rates, exception work and adoption. Use a review window long enough to include unusual cases. Keep revenue effects separate unless you can demonstrate attribution. Discover can help establish the baseline before a build decision.
Estimate the hours released.
Illustrative inputs. Adjust them to your process. Nothing is submitted.
Subtract review and exception work. Compare the same task on both sides. Released capacity is not automatically cash savings.
